WASE Calendar Managers,

This is a reminder that the Web Appointment Scheduling Engine (WASE) will shut down on July 22, 2022. Please begin to make alternative plans ahead of time. Read more about the shutdown

 

For faculty and staff, the alternative to WASE is Microsoft’s Bookings. You can get started with it today. Log in to Princeton’s Microsoft Apps with your Princeton NetID and Password and select Bookings.

Dear (Dept SCAD and UG Support Staff),

I hope this finds you well as the academic year comes to a close.  This email is to serve as a reminder that the Web Appointment Scheduling Engine (WASE) is scheduled to be sunset this July and to request your personal assistance in spreading awareness to those in ____________ (your department), who may not yet have moved to an alternative online scheduling system. 

WHAT'S HAPPENING AND WHEN

  • WASE is being sunset this July and will NOT be available to users in the coming semester. 
    • All users should be moved off of WASE by July 22. 
  • The OIT-supported (and recommended) alternative to WASE is Microsoft Bookings.
    • Other suitable applications may be used, but please keep in mind that Bookings is the only one being supported by OIT.
  • Bookings training sessions are open for registration through the Employee Learning Center.
    • Additional sessions are being added between now and July.
  • Bookings "Ask Us Anything" Information Sessions are available at the Date/Times/Links below.
    • Here, you are given the floor to ask any question(s) you might have regarding Bookings support. 
  • In addition to our Knowledgebase Article and the Bookings Channel in Teams, OIT is in the process of finalizing new supporting documentation, including a website for in-depth guidance on calendar creation and maintenance and Quick Reference Guides.

WHO'S IMPACTED

  • Anyone in your department who currently uses WASE for online scheduling (office hours, advising, reservations, etc.)

COMMUNICATIONS

  • An initial communication was sent to all WASE users in December (please see email below)
  • Related information has been presented at SCAD and AMG meetings over the last several months
  • A banner has been added to the WASE interface to callout the deprecation of the tool
  • Additional communications are scheduled to go out shortly (but will be sent to a more generic distribution list)
    • Will include updated resources and a survey

WHAT CAN YOU DO TO HELP

  • Please spread awareness to your users, especially faculty, that WASE is about to be retired and will not be supported for future semester scheduling.
  • If the intent is to move forward with Bookings as the alterative tool:
    • Please review the attached spreadsheet.
      • Purpose is to get you thinking about how a calendar should be configured and alert you to best practices
    • Set aside time to work with those you support (you, your faculty and/or staff) to help configure calendar(s) for the upcoming semester.
  • Attend a detailed training session to get acclimated to the tool.
  • Attend an open Q&A Info Session: "Ask Us Anything" (the links below are for specific Zoom sessions).  Pop in at any time during the hour!
  • Forward this to those in your department who can help spread the word

The alternative to WASE is Microsoft’s Bookings. Princeton University licenses and supports Bookings for all faculty and staff. You can get started with it today. Log in to Princeton’s Microsoft Apps with your Princeton NetID and Password and select Bookings.

Be aware that Booking’s uses “consumer” language and labels. Microsoft is working to tailor it for educational settings. Your patience and feedback are appreciated. Additional email updates about the WASE shutdown will be sent in the coming weeks.
